What we collect

When you contact us, we receive the details you choose to provide, such as your name, company, telephone number, email address and the subject of your enquiry. A project enquiry may also include a property address, plans or other information needed to discuss the work.

For telephone calls we process live audio and speech-to-text, together with the calling number when available, the number called, time, duration, status and outcome. A confirmed message records the contact details and reason you agree to leave. For WhatsApp we receive your messages, your WhatsApp contact details and delivery information.

Our websites and hosting services also process standard request information, such as an IP address, browser information and security logs. Please avoid sending passwords, payment-card details or identity documents in an ordinary enquiry.

The website remembers your chosen text size in your browser. It also loads fonts supplied by Google; your browser contacts that service to display them.

Why we use it

We use enquiry details to answer questions, discuss requirements, arrange a callback and take steps you request before a contract. If you become a customer, we use the relevant records to deliver, support and invoice the work. We also use limited technical records to protect the service, prevent duplicate messages and investigate faults.

Our bases for these uses are steps at your request before a contract, performing a contract, our legitimate interests in responding to other business enquiries and running a reliable service, and legal obligations where they apply to business records. Contacting us does not by itself sign you up for unrelated marketing.

AI telephone and WhatsApp assistants

Our telephone receptionist uses AI to hold a conversation and take a message. Live audio is processed by our communications and AI suppliers, including speech recognition. The application does not make or keep an audio recording of customer calls. This does not mean that the suppliers retain no technical data or provider logs.

If you contact us through WhatsApp, an AI assistant may use your recent conversation to write an automated reply. The team can pause automated replies and take over the conversation. AI can mishear or misunderstand information: please correct it and check the details of a message before confirming them. You can ask for a reply from the team, or use the email address below; immediate staff availability is not guaranteed.

Who processes the information

We use LilaCRM for enquiries and messages. The phone service uses Twilio for the telephone connection, Cloudflare for the receptionist application, OpenAI for voice conversation and Google services for speech recognition and related processing. WhatsApp messaging uses Meta’s WhatsApp Cloud API; Google Gemini is used for AI text replies when enabled.

Cloudflare and Google Gmail support notification email delivery. Notifications may include enquiry details so the team can respond. Our hosting, email and communications suppliers process information needed to provide their services. Some processing may take place outside the UK; contact us if you need current details about the providers and arrangements used for your enquiry.

Lila Software Development Ltd supplies LilaCRM and technical support for our enquiry and receptionist systems. We may receive accessibility or health-related information if you choose to share it when discussing adaptations; please only send what is needed for the enquiry.

How long information is kept

Technical call-history records are kept for 30 days. The receptionist’s private copy of a confirmed callback message is also kept for 30 days. Private text reviews of owner test calls and browser tests are kept for 7 days; these are not audio recordings of customer calls.

WhatsApp correspondence is scheduled for removal after 90 days. Contact details for an active conversation can remain while it is in use. Minimal inbound-message and delivery-status hashes are kept for 180 days to prevent replay. Minimal send-attempt records without message text have no automatic expiry, so that duplicate or uncertain sends cannot be recreated.

Confirmed CRM enquiries, associated receipt and audit records, and notification emails are separate copies. They are not deleted by the 30-day or 90-day inbox timers. We retain these according to the enquiry, any resulting work, accounting or other legal needs, and consider deletion requests against those needs. Provider logs and backups have their own retention arrangements.

Your choices and rights

You can ask us for access to your personal information, to correct it, or to delete it. Depending on the circumstances, you may also ask us to restrict its use, object to processing or provide a portable copy. We consider requests against any legal or ongoing contractual reasons for keeping the information.

Please contact the business using the details below. You can also raise a concern with the Information Commissioner’s Office at ico.org.uk/make-a-complaint.
